How do I add a shared mail box?

To access the shared mailbox, please refer to the following instructions:

Option 1) Add a shared mailbox to the Outlook desktop application:

  1. Open Outlook.
  2. Choose the File tab in the ribbon.

  1. Choose Account Settings, then select Account Settings from the menu.

  1. Select the Email tab, make sure the correct account is highlighted, then choose Change.

  1. Choose More Settings > Advanced > Add.
    1. Note: Before you select More Settings, you can move the slider in the Exchange Account Settings window to the end to retrieve all your past emails when you go offline. If you have a lot of emails, unchecking the Use Cached Exchange Mode to download email to an Outlook data file box can help Outlook load faster.

  1. Type the shared email address, such as ###@okanagan.bc.ca.
  2. Choose OK > Apply > OK.
    1. Note: While Outlook is adding the mailbox, Outlook might say that it is not responding, but if you wait just a little you should see the new mailbox be added.
  3. Choose Next > Finish > Close.
  4. Restart Outlook after the mailbox has been added. All the previous emails may take a couple minutes to sync over to the newly added shared mailbox.

 

Option 2) Open and use a shared mailbox in Outlook on the web:

  1. Navigate to the web version of Outlook: https://outlook.office.com/ and sign in with your regular Okanagan College account.
  2. Once you are signed in, select your account's profile icon at the top-right of the webpage. Then select Open another mailbox.

  1. Type in the shared email address that you want to access and select Open.

Option 3) Add a shared mailbox to the NEW Outlook desktop application:

  1. Right click your email address in the left side panel and select Add shared folder or mailbox.

  1. Type in the email address of the shared mailbox that you would like to add to the NEW Outlook desktop app and select Add.
  1. Note: If the Add option is grayed out, double check the spelling of the email you typed in to make sure it is correct.

  1. The shared mailbox you just added will now show up under the Shared with me folder located in the left side panel in Outlook.
