Watch the video walkthrough, then use the written steps below as a quick reference while working in Brightspace.
Before You Begin
Open the Brightspace course where you want students to access the Online Classroom.
Important: The meeting room is created in My Media, rather than directly inside a course. This allows you to add the same room to more than one course.
Step 1: Create a Kaltura Meeting Room
- Open your Brightspace course.
- Select More from the course navigation.
- Select My Media.
- Select Create in the upper-right corner.
- Select Meeting Room.
- Enter a clear name for the room, such as Online Classroom for ABCD 123.
- Set the meeting schedule to Always if you want to open the room at any time during the course.
- Select Create Event.
Step 2: Customize the Meeting Room
After creating the event, you can review and customize its settings.
- Add a description if students need more information about how the room will be used.
- Review the available theme, layout, and schedule options.
- To add a custom room image, select Edit Thumbnail.
- Upload an Online Classroom image from your computer.
- Save your changes.
The meeting room will now appear in My Media and can be added to multiple Brightspace courses.
Step 3: Add the Room to the Course Media Gallery
- Return to the course where students will use the room.
- Select More from the course navigation.
- Select My Tools.
- Select Course Media Gallery.
- Select Add to Media Gallery.
- In the Select Media window, locate the meeting room you created.
- Select the checkbox beside the meeting room.
- Select Select.
The Online Classroom will now appear in the Course Media Gallery for this course.
Step 4: Create an Online Classroom Page
- Select Content from the course navigation.
- Open the unit where you want the Online Classroom link to appear.
- Create a new page.
- Name the page Online Classroom.
- Select a course template and choose a Content Page.
- Give the page a clear heading, such as Online Classroom.
Tip: Always name a new Brightspace page before saving it for the first time.
Step 5: Add the Course Media Gallery Link
- Place your cursor where you want the Online Classroom link to appear.
- Select Quicklinks from the page editor toolbar.
- Select External Learning Tools.
- Select Course Media Gallery.
- Select the inserted link, then choose Edit.
- Change the link text to something clear, such as Online Classroom for Fall 2026.
- Select the option to open the link in a new window.
This link takes students to the Course Media Gallery, where they can select the Online Classroom thumbnail.
Step 6: Finish and Publish the Page
- Add brief instructions explaining how students should join the Online Classroom.
- Add any tips students need for the best experience.
- Replace the template banner image if desired. Mark the image as decorative if it does not communicate essential information.
- Remove any unused sections from the template.
- Select Save and Close.
- Turn on the page visibility when it is ready for students.
Step 7: Test the Online Classroom
- Open the Online Classroom page in your course.
- Select the Online Classroom link.
- In the Course Media Gallery, select the meeting room thumbnail.
- As the instructor, select Start Meeting when you are ready to open the room.
- Students will use the same route and select Join Meeting.
Recommended: Use View as Learner to confirm that the page, Course Media Gallery, and meeting room are visible to students.
Reuse the Room in Another Course
The meeting room remains available in My Media. To use it in another course:
- Open the other Brightspace course.
- Add the existing meeting room to that course's Course Media Gallery.
- Create an Online Classroom page with a link to the Course Media Gallery.
Best Practices
- Give the room and page clear names that identify the course or term.
- Include simple joining instructions directly above or below the link.
- Ask students to allow browser access to their microphone and camera when prompted.
- Recommend headphones or a headset to reduce echo and background noise.
- Test the room before the first scheduled class.
- Confirm the page is visible to students before sharing it.
