Staff Departure Checklist

Recommended steps for all departing Okanagan College staff — including those finishing a term contract, retiring, or resigning.

Before you leave, make sure you have

✓ Updated personal accounts linked to your OC email

✓ Returned all OC-issued equipment

✓ Transferred department files to Teams or SharePoint

✓ Cleaned up your personal files from OneDrive

✓ Reviewed what happens after your departure date

1 Update Personal Accounts

If you have used your OC email to sign up for any personal online services or subscriptions, update those accounts with a personal email address before your @okanagan.bc.ca email is deactivated.

Examples include:

  • Amazon, LinkedIn, or social media accounts
  • Subscription services (newsletters, cloud tools, etc.)
Important: Once your OC email is deactivated, you will lose access to any accounts that use it for login or password recovery.
2 Return OC Equipment

Return college-owned equipment to the appropriate location based on the type of equipment:

Equipment Type Return Location
Laptops, chargers, WFH equipment (full-time continuing staff) IT Services
Phones (all staff) Department Admin Office
Equipment for term or contract staff Department Admin Office
Monitors, docks, keyboards (in offices) Leave in office unless directed otherwise
Note: WFH equipment includes webcams, monitors, docks, or other technology assigned for remote work. These must be returned to IT Services.
3 Transfer Department Files and Shared Resources

If you have department or team files saved in your personal OneDrive:

  • Move them to your department's Microsoft Teams site or SharePoint folder
  • Ensure shared resources — such as meeting notes, project plans, templates, and vendor contacts — are accessible to your colleagues
4 Clean Up Your OneDrive

Before your account is disabled:

  • Download any personal files you want to keep
  • Delete any non-work-related content, such as resumes, personal tax documents, or photos
5 Final Checklist

Use this list to confirm you've completed all necessary steps:

  • ☐  Updated online accounts that used your OC email
  • ☐  Set an out-of-office message and updated voicemail (optional)
  • ☐  Returned WFH and other OC-issued equipment to IT Services
  • ☐  Returned phone to department admin
  • ☐  Moved department documents from OneDrive to Teams or SharePoint
  • ☐  Removed personal files from OneDrive
6 After Your Departure
  • Access to email, OneDrive, and other college systems will be removed shortly after your end date
  • For information about your T4, ROE, or benefits, contact People Services and Finance directly
  • Email and data retention is currently indefinite, but this may change — be sure to retain anything important before leaving
  • If you're seeing work contacts on your personal phone, your phone may still be synced with your OC account. Once your access is removed, those contacts will disappear. To keep important contacts, save them to your personal account before your work access ends
Important: Do not wait until your last day — complete these steps as early as possible to avoid losing access to personal accounts or important files.
